RedOffice - Register an Email

Register an Email

1. In Outlook, select the email you want to register, and click the document information icon on the home ribbon.


 

2. On the document information pane, select a Quick Add Profile (QAP).
3. Add any required document information
e.g. Document title/precis, document classification.

4. Add the document to any mandatory indexes and any additional indexes.

5. Add a note by clicking the ‘+’.
 

6. Attachments are not selectable when there are no attachments to the email. Refer to the next section for details on attachments.
Please note within the definition of your TechnologyOne ECM QAP Precis Builder, if the Maintenance Rule is set to ‘Maintain Precis during and after Registration’, then the precis builder definition will continue to apply for Emails.
  

7. After you have added your index(es), click the Register icon to save the document into ECM.

8. The registration of the document will then begin.
 

9. The following dialog will be displayed after the document is successfully registered.

Options available on this screen:
ECM document properties – opens the Ci Anywhere ECM document properties page.
Close – This will close the registered successfully window.
Note: as emails are automatically checked in on registration to ECM, users will not be presented with an option to check out.
