A brief guide on options to filter or search for meeting agenda and minutes content
Prerequisites: Councillor or Committee member with access to the councillor portal (https://CLIENTNAME.civicclerk.com.au/boardview/) and permissions to view required meeting types. If unsure, contact your Governance or Meeting Administrator team.
Login to the BoardView portal as per normal to get to the main home screen, then see below two choices to Filter meetings or Search for specific available content.
FILTER - Allows you to narrow down available content by Meeting Name and Date Range. This can be used within the Agendas, Minutes, Notes or Media menus.
1. Go to the required BoardView menu, e.g. AGENDAS
2. Click top-right [FILTER] button to un-hide the search entry fields.
3. In the Meeting Name field, full or partial, for example "Committee"
4. Enter a Date Range if you want to restrict the available results further, or leave blank
5. Click [SEARCH] button to see results at the bottom and click on the required Meeting Tile to view
To clear search criteria, click the top-right [RESET] button.
SEARCH - A more detailed search where content can be narrowed down by entering Keywords and Date Range. Based on the keyword/s, the search will return matching content in the following category tabs; Meetings, Items (Reports), Notes (Private to Councillor login), Comments & Discussion (Motion outcome and Minute content). In relation to Meetings and Items, the search match needs to be part of the meeting or item name.
1. To initiate the Search function, click the top-right magnifying glass,
followed by the top-left [SEARCH] button to expand the search entry fields.
2. In the Enter Keyword field, add a word or brief search term, for example "Minutes"
3. Enter a Date Range if you want to restrict the available results further, or leave blank
4. Click [SEARCH] button to see related results below.
5. Search Results are organised into tabs, dependent on the category
6. Click on the object Name or Details to navigate into and view the content
To clear search criteria, click the top-right [RESET] button.
