How to access, view and create Registry Views and Snapshots
Access
Administrators with appropriate Resolve Admin portal (https://CLIENTNAME.civicclerk.com.au/admin/) Site Settings access, will have the ability to administer Registry access for other security profile levels and users.
With the above permissions, Administrators can apply appropriate Registry functionality, either View or Edit rights, to users with a specific Security Profile. To give access within a Security Profile (e.g. Standard User with Approvals), use the drop-down to select the access you want to give all users with that profile.
Tip: As explained in the following guide, shared report visibility can be restricted by applying Confidentiality. See Security Groups article for further help on setting these permissions.
If your user profile has permissions, you'll be able to access when clicking the Registry icon
View
Initially, the Default view report will be displayed. This is the view currently set or pinned in the top right-hand corner under the View drop-down menu.
Options available with read only permissions:
1. Quick Search box - Filters down the visible results, based on the search term entered
2. Download - Export report to PDF or Excel file
3. Select Columns - Choose the required columns for your report
4. Filters - Apply filters and conditions to present the required data
Tips:
1) Hovering over certain text fields, e.g. Motions and Resolutions, will give a pop-up expanded window, showing all content in full.
2) Some fields if present in your report, e.g. Agenda Name or Item Name, when clicked on, will navigate to that object in Resolve.
Create or Edit
For Registry users with the appropriate edit permissions, new Views can be created or edited as required.
1. Select Columns - Choose the required columns for your report
2. Filters - Apply filters and conditions to present the required data
3. View Options menu options;
- New to give a name to your new report, then save. This report will become available under the top-left View drop-down menu.
Tip: An existing report you are viewing can be edited as required then, under View Options, you can Save changes to the existing report or use New to save with a new name.
- Save to record any change made to a report
- Clone to create a new report based on the one currently being viewed, giving a new name
- Rename t0 change an existing report name
- Delete an existing report View
- Sharing presents the following options to allow visibility to specific 'Confidentiality' groups and/or 'Specific Users'. Once updated, click save apply the changes.
Snapshot
Allows a snapshot of report View data, to be saved at that moment in time. This can be recalled and viewed at a late date.
Snapshot menu options;
- Save to record a snapshot of the View report at that date and time
- Delete an existing snapshot
- Sharing options to select snapshot and allow visibility to specific 'Confidentiality' groups and/or 'Specific Users'. Once updated, click save apply the changes.
- View to recall a previously saved View snapshot. Select the required snapshot and a link is made available to be copied and shared. Alternatively, click the View button to open in a separate browser tab.
Tips:
1) In a live report View or previously saved Snapshot, click in a Motion and Resolutions cell to see the motion text and related vote result
2) Click on the 'Switch View' button to toggle between Item Minutes content or Motion vote outcome
