A time saving feature for Report Writers and Meeting Administrators, to duplicate or move an existing report to a future Agenda.
Prerequisites:
- Access to the Resolve Admin portal (https://CLIENTNAME.civicclerk.com.au/admin/) and appropriate permissions to view or edit related Agenda Items.
- The Agenda where the Item is copied or moved to, needs to be a meeting Event in the future.
MOVE AGENDA ITEM (Skip here for COPY ITEM) - If decided an Item will not be discussed during an existing Agenda, or there's another reason to move it, use this option to shift an Item Report to a future meeting Agenda. Moving an Item doesn't change the current approval workflow set or affect approvals that have already occurred for the Item.
Navigate to the Agenda where the Item to be moved is located, then scroll down the order of business to the required Item and click to select.
If the purple [Move] icon shown above is NOT present, the Item has been locked to prevent further editing. If this is the case, it will be necessary to navigate into the Item first to "unlock", before it's possible to move the Item. Click [Blue edit pencil] button (first icon shown above), to enter the Item. Once in the Item, click the top-right-hand [UNLOCK] button (1), then the BACK TO AGENDA link (2) top-left to return to the Agenda view page as shown below.
Where the purple [Move] icon DOES appear against the selected Item, click the purple [Move] icon to open the 'Move Agenda Item' window as shown below.
Move Agenda Item window, populate the following:
1. Select Agenda - Chose required future Agenda in the pick-list
2. Select Section - Chose the target Agenda Section to move the Item to
3. Update Item Layout:
- If selected (ticked); the moved Item will take on the Item Layout design of the target Agenda, which determines how each Item Name is formatted and displayed in the Agenda document. The Item will keep it's Number# from the original Agenda.
- If deselected (un-ticked); the Item will maintain the Layout design from the Agenda it was moved from. The Item will be allocated the next consecutive Number# in the Section its moved to.
4. Update Item Reports:
- If selected (ticked); any [Item Files] Reports from the original Item ARE regenerated in the Item
- If deselected (un-ticked); Report static files that already exist are moved with the Item
[SAVE] - Click to complete moving the Item to the target Agenda
On successful Item move, you can navigate to the Item in the target Agenda and edit as per normal.
COPY AGENDA ITEM - This allows Report Writers who regularly create reports with similar content, to duplicate a previous Item Report and all underlying content, to a future agenda. At which point, the content of the new Item can be updated as required. Where Item Report templates have been set up, Meeting Administrators can also use this feature to duplicate the template for use in a new Agenda. There are two options to initiate copying an Item, from the Agenda or from within the Item. See following.
Option # 1 - Copy from Agenda
Navigate to the Agenda where the Item to be copied is located, then scroll down the order of business to the required Item and click to select.Where the option buttons appear against the selected Item, click the green [Copy] icon to open the 'Copy Agenda Item' window as shown below.
Copy Agenda Item window, populate the following:
1. Select Agenda - Chose required future Agenda in the pick-list
2. Select Section - Chose the target Agenda Section to copy the Item to
3. Agenda Item Name - In the text editor box, amend the Item 'name' as required
Scroll further down in the 'Copy Agenda Item' window to review the Tabs to Copy. All elements of the Item are included to be copied to the target Agenda by default, however you can deselect what isn't required. For example, if you didn't need to copy the Item Files tab 'Attachments', you could un-tick this option.
4. Tabs to Copy - Deselect any tabs you don't need to copy
5. [SAVE] - Click to create copied Item in target Agenda
On a successful Item copy, you will be taken into the newly copied Item in the target Agenda and can then update and add to as required. For more detail on what's copied to the new Item, dependent on choices made above, see **Tabs to Copy - here
Option # 2 - Copy from within Item
For the desired Agenda, navigate into the Item to be copied, then in the top right-hand-corner of the screen, (1) click the ellipsis (...) menu to expand, then (2) click the [COPY] button. See below.

- If selected (ticked); the duplicated Item will use the Item Layout design of the target Agenda, which determines how each Item Name is formatted and displayed in the Agenda document
- If deselected (un-ticked); the Item will maintain the Layout design from the Agenda it was copied from
Regenerate Item Reports - If Report static files (PDF, Word) exist under the original Item [Item Files] tab, they are included in the destination Agenda [Item Files] tab of the new copied Item.
