Resolve - Bulk Item Move or Copy

A function to speed up Item transfer or copy to a future Agenda, useful to Report Writers and Meeting Administrators.

Prerequisites: 

  • Access to the Resolve Admin portal (https://CLIENTNAME.civicclerk.com.au/admin/) and appropriate permissions to view or edit related Agenda Items.
  • The Agenda where the Item is copied or moved to, needs to be a meeting Event in the future.

BULK MOVE ITEMS
(Skip here for BULK COPY ITEMS) - If multiple Items will not be discussed during an existing Agenda, or another purpose, such as moving to a "holding Agenda", use this option to bulk select and shift Items to a future meeting Agenda.  Moving an Item doesn't change the current approval workflow set or affect approvals that have already occurred for the Item.

Navigate to the Agenda where the Items to be moved are located, then click the [BULK MOVE] button, visible when the Items tab is selected.

Move Agenda Items window, populate the following:

1. Select Agenda - Chose required future Agenda in the pick-list

2. Select Agenda Item Section - Review the Items shown here on the original Agenda and for those you want to move, click on the pick-list to the right, to select the target Agenda Section to move to.  If NOT moving Items, leave the selection blank like the last Item shown below (3).  


Continue to scroll down in the window selecting any Items to move, until you get to the end of the original Agenda and see Update Options


4. Update Item Layout:

  • If selected (ticked); the moved Item will take on the Item Layout design of the target Agenda, which determines how each Item Name is formatted and displayed in the Agenda document.  The Item will keep it's Number# from the original Agenda.
  • If deselected (un-ticked); the Item will maintain the Layout design from the Agenda it was moved from.  The Item will be allocated the next consecutive Number# in the Section its moved to.

5. Update Item Reports:

  • If selected (ticked); any [Item Files] Reports from the original Item ARE regenerated in the Item
  • If deselected (un-ticked); Report static files that already exist are moved with the Item

[SAVE] - Click to complete the Bulk Item move to the target Agenda.  You can then navigate to the target Agenda to update any of the Items as required.



BULK COPY ITEMS - This is helpful for Meeting Administrators that might want to set up an Agenda with template Item Reports, pre-populated with content that can be re-used and copied into future meetings.  These Items, with some prefilled detail, can then be edited by Report Writers as required on the new Agenda.

Navigate to the Agenda where the Items to be copied are located, then click the [BULK COPY] button, visible when the Items tab is selected.

Copy Agenda Items window, populate the following:

1. Select Agenda - Chose required future Agenda in the pick-list

2. Select Agenda Item Section - Review the Items shown here on the original Agenda and for those you want to copy, click on the Section pick-list to select the target Agenda Section to copy to.

  • If NOT copying Items, leave the selection blank like the last Item shown below (3).
  • If the current Item Owner shown needs to be reassigned in the target Agenda, change the Owner using the pick-list on the right (4).

Continue to scroll down in the window, selecting any Items to copy, until you get to the end of the original Agenda and see Tabs to Copy.  All elements of each Item are included to be copied to the target Agenda by default, however you can deselect what isn't required.  For example, if you didn't need to copy the Item Files tab 'Attachments' with each Item, you could un-tick this option.

5. Tabs to Copy - Deselect any tabs you don't need to copy

[SAVE] - Click to complete the Bulk Item copy to the target Agenda.  You can then navigate to the target Agenda to update any of the Items or the assigned Report authors can begin work on their content when ready.  For more detail on what's copied to the new Items, dependent on choices made above, see following.

 

**Tabs to Copy:  See what is included for each option below when enabled (ticked)

Details - Include content added and choices / fields populated in the original Item [Details] tab

Custom Data -  Include content added and choices / fields populated in the original Item [Other Details] tab

Fiscal - Include any financial entries from the original Item [Fiscal] tab

Attachment - Include any attachments from the original Item [Item Files] tab

Approvals:

  • If selected (ticked); The copied Item will show the original Item Approval workflow set and list the ‘Approved By’ individuals, however approval progress will be reset to 0% (Reset Approvals) in the new Item. 
  • If deselected (un-ticked); The copied Item will show the default target Agenda Approval workflow set, based on Agenda Meeting Type, Item Category and Department, as per approvals configuration set up. Approval progress will be reset to 0% (Reset Approvals) in the new Item and no prior approval history is shown.

Retain Current Item Number - Keeps the Item ID# from original Item, rather than create a new unique ID#

Item Reports:

  • If selected (ticked); any [Item Files] Reports from the original Item ARE copied into the new Item
  • If deselected (un-ticked); Report files are NOT copied across and if default 'auto-create' Reports are set for the destination Agenda Section, they will be created under the new Item [Item Files] tab

Update Item Layout:

  • If selected (ticked); the duplicated Item will use the Item Layout design of the target Agenda, which determines how each Item Name is formatted and displayed in the Agenda document
  • If deselected (un-ticked); the Item will maintain the Layout design from the Agenda it was copied from

Regenerate Item Reports - If Report static files (PDF, Word) exist under the original Item [Item Files] tab, they are included in the destination Agenda [Item Files] tab of the new copied Item.
